Options to manage your documents

See below all the tools you can use to manage your documents in Autentique:

Sign

You can sign pending documents directly from the dashboard.

How to Sign a Document


By clicking on the three dots on a document that has not yet been signed and selecting the Sign option, a screen will appear for you to verify your information before signing.

After this you can just click on Sign:

If the document includes additional validation, such as biometric validation, it will need to be completed first before you can proceed with signing.

Download

To download your document, you can follow these steps:

  1. Access the Documents page.

  2. Click on the three dots next to the document you want to download and select Download.

  3. Choose one of the available options as shown below:

You can download a document the same way by accessing the document directly. Simply click on the three dots in the upper left corner and follow the same instructions as above.

Our service offers 4 options for downloading your document:

  1. Signed PDF: This is the version of the document that includes the PDF with electronic markings and an audit page at the end of the file.

  2. Original File: The original file sent for signature, without any changes, markings, or signatures.

  3. PAdES File (Qualified Only): A file signed with each signer's certificates in the PAdES standard. To view the certificate details, the signed document must be processed through the ITI validator (https://validar.iti.gov.br/).

  4. Certified File: A file signed using the advanced mode, sealed with Autentique's digital certificate.

The certified file is only sealed with our certificate and does not equate to a qualified electronic signature for any purpose.

We do not support the feature to download documents in bulk.

Archive

You can organize your documents in various ways: create a folder for each person, create folders by document type (such as a folder just for receipts), move your documents to different contexts, or organize them according to your needs.

How to Archive a Document:

  1. To archive your document in a folder or transfer it to another folder, click on the three dots on the document and select Archive:


  2. Select your preferred context, choose the desired folder, and click Archive.

When changing the context of a document, you can move it between personal, group, or organizational contexts.

Remember that the chosen context may make the document visible to other people in the organization.

Delete

  1. Go to the My Documents tab and locate the document you want to delete.

  2. Click on the menu and select the Delete option.

  3. A confirmation screen will appear. Confirm the deletion by clicking on the desired option.

What Happens When a Document is Deleted:

  • Sent to Trash: If the document has already been signed by any signer, it will be moved to the trash.

  • Permanent Removal: If the document has not been signed by any signer, it will be completely removed from Autentique.

  • Signers’ Access: Signers who have already signed the document will still be able to access their respective copies, even after deletion.

  • Document Blocking: To prevent pending signers from signing or accessing the document, you must block and delete the document.

Attention: Simply deleting the document does not prevent it from being signed or invalidate its legal validity. To do so, you need to perform a termination agreement. Learn more about termination agreements.

Restore

How to Restore a Document:


To restore a signed document from the trash, follow these steps:

  1. Go to the Trash tab and click on the menu and select the Restore option.

  2. A screen will appear asking for confirmation to restore the document; simply click Restore:

If the document is locked and deleted, an additional option will be displayed to unlock and restore it.

Transfer

Transferring a document allows you to move it to another organization or group where you are a member. By doing so, the document will be removed from the current organization and will only be accessible in the new organization or group selected.

How to Transfer a Document

  1. To transfer your document to a group or from one organization to another, click on the three dots on the document and select Transfer:


  2. Select the organization and group of your choice, then click Transfer.

A document transfer can't be undone.

Block

Blocking a document prevents pending signers from accessing the link and signing it.

How to Block a Document

  1. To block your document, click on the three dots on the document and select Block:

  2. A screen will appear for you to confirm the action; click Block.

When a document is blocked, the card will display a label indicating that it is blocked for signing:
